To make your transition as smooth as possible, we’ve created an onboarding checklist that will guide you through the important steps you’ll need to complete before your first day. This checklist includes the actions you’ll need to take and the communications you can expect as you prepare to join us. Once you’ve completed all the steps, you’ll be ready to embark on your first day with confidence.

Congratulations! We are thrilled you have chosen to join our team! We can begin the onboarding process now that you have received and accepted your offer of employment. Our Talent team will be your partner throughout the onboarding process, guiding you through each step and ensuring you have everything you need.

Verbally accept your offer of employment from your Talent Acquisition Consultant, sharing any questions you may have.

Receive your position acceptance email, including written offer details, total rewards information, and onboarding details, including online onboarding forms, background check information, and pre-employment meeting information.

Click here to access your Onboarding forms. Once there, Click on My Profile>Onboarding to locate your assigned documents.

Please complete your onboarding documents before your pre-employment appointment. If you are unable to complete them prior, please arrive at your pre-employment appointment 15 minutes early to complete your documents onsite.

You will receive an email from Universal Background Screening prompting you to complete the background check process. Complete this as soon as possible, as this process is time-sensitive.

Your background check must be completed within 30 days of your start date; if your start date is scheduled further out, please watch for this email closer to your start date.

You will receive a separate email with a link to complete an Epic Proficiency Self-Attestation Survey if required for your role. If you have prior EPIC experience, please complete this as soon as possible. The Epic team will determine if you would benefit from an EPIC fast-track class. If this is not completed, you will be enrolled in the full Epic course for your role and department.

Additional Enhanced Background checks through Idaho Health and Welfare are required for those working on the following teams: Nursing Resource Team, Behavioral Health Services, Transitional Care Services, and Kootenai Kids Daycare. If necessary for your role, your recruiter will send you additional instructions via email titled: Kootenai Health – Fingerprinting Process Instructions.

If you have recently changed your name, all required licenses/certifications must be updated to reflect your new legal name. Your Social Security card and I-9 documents, excluding birth certificates, must also be updated.

Education, professional licensure, and certification required for your position
For program and education verification, we accept diplomas (or a photo of them) and official or unofficial transcripts that state “degree awarded” or “program completed” and completion date. If you have questions about what is required for your role, please contact your Talent Acquisition Consultant or reference your job description.

Direct deposit documentation
If you would like to utilize direct deposit, please provide a voided check or document with checking/routing information from your bank. If you do not select to use direct deposit, your paycheck will be mailed to the address listed in your employee file.

I-9 Documents from List A or List B & C from the I-9 form found in your required electronic onboarding forms
They must be original documents, photocopies cannot be accepted.

Social Security Card Your social security card is required for payroll and tax purposes. It must be an original document, photocopies cannot be accepted.
If you cannot find your social security card or have recently had a name change, please start the replacement process online: Replace Social Security Card | SSA and bring proof of process request to your pre-employment appointment.

Vaccination Records (if available)

  • If you want a review of immunization booster options, please bring your records.
  • If you have been vaccinated for COVID-19, please bring proof of your vaccination.
  • Seasonal Flu Vaccine: If you are onboarding during flu season (August-April/May), please bring proof of your flu vaccination to your pre-employment appointment or come ready to receive a flu vaccination.
  • During your pre-employment appointment, the Employee Health team can provide medical or religious exemption options for flu and COVID-19 vaccinations.

When you arrive onsite for your pre-employment appointment, please check in at the front desk of People Services, Kootenai Services Building, Suite 104 – 2205 Kootenai Health Way, Coeur d’Alene, ID 83814. Your pre-employment appointment is scheduled for 45 minutes but may take up to 1 hour. During your pre-employment appointment, you will:

  • Review and acknowledge pertinent Kootenai Health policies
  • Discuss instructions for your first day
  • Have a photo taken for your badge, please wear business casual attire or scrubs
  • Meet with Employee Health to complete drug screen with a urine sample and discuss vaccination requirements
  • Complete a blood draw for tuberculosis (TB) testing

As you begin your journey with us, we encourage you to review the Benefits Blueprint and Timeline, which outlines the next steps in selecting your benefits. This guide will help you understand essential deadlines and the variety of total rewards resources available to you. It’s an excellent opportunity to familiarize yourself with the benefits options and resources to ensure you make informed decisions about your health, well-being, and overall rewards package.
